We are seeking a highly organized and detail-orientated Business Operations Administrator to support the daily operations of a large, well-established Homeowners Association. This role is essential to keeping the organization running smoothly and professionally. The position reports directly to the General Manager and servers as a key point of contact for residents, vendors and internal teams.

 

This role combines financial administration, office operations, and resident support, making it ideal for someone who enjoys variety, accountability, and being the go-to problem solver.

 

Key Responsibilities

Financial & Administrative Support

  • Process payroll accurately and on schedule
  • Manage Accounts Payable including vendor invoices, coding, approvals and payments
  • Track and assist with Accounts Receivable, including homeowner assessments, payments, and follow-ups
  • Maintain organized financial and administrative records
  • Assist with month-end and year-end administrative reporting
  • Coordinate with the General Manager, CPA, and outside vendors as need.

Resident & Community Support

  • Serve as a friendly, professional first point of contact for resident inquiries
  • Respond to questions related to accounts, assessments, policies, and general HOA operations
  • Route complex or policy-driven issues to the appropriate department or the General Manger
  • Maintain confidentiality and professionalism when handling sensitive homeowner matters

Office & Operations Coordination

  • Support day-to-day office operations and administrative workflows
  • Assist with scheduling, correspondence, and document preparation
  • Help Maintain compliance with HOA policies and procedures
  • Provide administrative support to committees, meetings, and community communications as needed

 

Qualifications

  • 3+ years of experience in administrative, accounting, or operations support
  • Experience with payroll, AP, and AR strongly preferred
  • Prior experience in an HOA, Property management, or similar environment is a plus
  • Strong organizational skills with high attention to detail
  • Excellent written and verbal communication skills
  • Professional, approachable demeanor when working with residents
  • Proficiency in accounting software and Microsoft Office (or similar platforms)
  • Ability to manage multiple priorities in a fast-paced environment
