Position Summary:

They are seeking a skilled and personable Medical Office Manager to join their team and ensure smooth day-to-day operations.

The Office Manager will play a vital role in overseeing the administrative and operational aspects of the practice. The ideal candidate is approachable, inspires collaboration, and fosters a positive workplace while upholding policies.

Responsibilities:

  • Provide support for patient intake, check-out processes, and payment collection during busy periods or staffing shortages.
  • Manage incoming phone calls and address front office tasks as necessary to maintain efficient operations.
  • Manage daily office operations to ensure efficiency and effectiveness.
  • Supervise and support administrative and clinical staff, fostering a collaborative environment.
  • Conduct end-of-day financial reviews and ensure accurate revenue tracking and reporting.
  • Oversee patient scheduling, ensure timely flow, and address any operational issues promptly.
  • Handle patient inquiries, complaints, and escalations with professionalism and empathy.
  • Enforce office policies and procedures while maintaining a respectful and team-oriented environment.
  • Coordinate with billing personnel to address insurance claims, payment collections, and reconciliation.
  • Monitor office supplies and equipment, ensuring adequate inventory and maintenance.
  • Assist with recruitment, training, and onboarding of new team members.
  • Assist and conduct team meetings to align on goals, address challenges, and promote continuous improvement.
  • Collaborate with leadership to set practice goals and identify opportunities for process enhancements.
Requirements
  • Proven experience in medical office management or a similar leadership role.
  • Strong organizational skills with a focus on attention to detail and problem-solving.
  • Excellent interpersonal and communication skills—friendly yet assertive.
  • Ability to foster a collaborative, respectful, and positive work environment.
  • Knowledge of medical billing and insurance processes.
  • Proficiency with EMR systems; experience with CounselEar is a plus.
