Job Title: Pennie Assister

About the Role:
The Pennie Assister will provide essential administrative and office support to multiple team members working on assigned projects. This role plays a key part in ensuring organized, accurate, and efficient daily operations while supporting communication, documentation, coordination, and project workflow.

Responsibilities and Impact:
As a Pennie Assister, you will:

  • Provide general administrative support and office coordination to assigned project teams.
  • Prepare and compose correspondence, reports, meeting minutes, and other routine documentation.
  • Schedule and coordinate meetings, appointments, and events for multiple stakeholders.
  • Maintain and update project files, electronic records, and contract database.
  • Conduct basic data entry, comparison, and tracking tasks using spreadsheets and databases.
  • Perform quality assurance checks on reports and summary materials before submission.
  • Maintain supply inventories, order materials, and support general office operations as needed.
  • Update and track work items in shared project systems such as Smartsheet.
  • Communicate clearly and professionally with project partners, staff, and clients.
  • Research routine information online, compile results, and summarize findings for internal use.

These responsibilities are not exhaustive; additional tasks may be assigned.

Minimum Qualifications:

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • 1-2 years of administrative or office support experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Strong Written and verbal communication skills.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • Comfortable with technology, file management systems, and internet research.

Standout Qualifications:

  • Experience with medical billing, medical transcription, or healthcare administration.
  • Familiarity with state or government agency processes (Commonwealth of Pennsylvania experience a plus).
  • Prior project coordination or customer service experience in a professional setting.
  • Strong organizational skills and attention to detail in documentation and follow-up.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Physical Requirements

  • Prolonged periods of sitting while using a computer.
  • Must be able to communicate clearly over video meetings, phone, and email.
  • Home workspace with reliable internet access required.

Pay Range:
$16/hr. - $18/hr.
