Job Description

The Remote Executive Administrative Assistant is responsible for providing high-level administrative support to executives and senior management. This role involves managing schedules, handling correspondence, organizing meetings, and performing various tasks to ensure efficient and effective operations. The ideal candidate is highly organized, detail-oriented, and capable of working independently in a remote setting.

Key Responsibilities:

Schedule Management:
Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
Prioritize and manage multiple tasks and projects simultaneously, ensuring deadlines are met.

Communication:
Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.
Prepare and edit documents, reports, and presentations for executive review.
Serve as the primary point of contact between executives and internal/external stakeholders.

Meeting Coordination:
Organize and coordinate meetings, including preparing agendas, distributing materials, and taking meeting minutes.
Ensure executives are well-prepared for meetings by providing relevant information and materials in advance.

Travel Arrangements:
Arrange domestic and international travel, including booking flights, accommodations, transportation, and preparing travel itineraries.
Manage travel expenses and submit expense reports for reimbursement.

Document Management:
Maintain and organize electronic and physical files, ensuring documents are easily accessible and up-to-date.
Handle confidential information with discretion and professionalism.

Project Support:
Assist with special projects and initiatives as assigned by executives.
Conduct research and gather information to support executive decision-making.

Administrative Tasks:
Perform general administrative duties such as filing, data entry, and office supply management.
Support other administrative staff and contribute to the overall efficiency of the organization.

Qualifications:
Education: High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
Experience: Minimum of 3-5 years of experience as an executive assistant, administrative assistant, or in a similar role. Experience working remotely is preferred.

Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to work independently and handle multiple tasks with minimal supervision.
Attention to detail and a high level of accuracy.
Discretion and confidentiality in handling sensitive information.
Strong problem-solving abilities and resourcefulness.
