Job Description

Work as part of the Shipping, Warehouse and House truck teams in the day to day shipping requirements of both the company and clients.  This position is responsible for assisting internal Specialist departments and Phillips’ clients with all collections and deliveries arriving and leaving Phillips’ premises, as well as organizing domestic and international shipments. Duties and Responsibilities

Truck Dispatching

·         Develop and manage daily and weekly schedules for pickups and deliveries

·         Assign routes to drivers based on efficiently, client requirements and deadlines

·         Schedule transfers between the warehouse, gallery, and off-site storage facilities

·         Maintain regular communication with drivers to monitor progress and address any issues that arise

·         Serve as primary point of contact for external and internal clients request.  Provide timely and accurate information about scheduling status, changes and confirmation of deliveries.

·         Liaise with warehouse staff and other departments to ensure seamless operations

·         Maintain accurate records of all house truck activities including schedules, routes and communications in addition to generating all paperwork for the house truck

·         Manage vendor payments as it relates to the house truck

·         Schedule regular maintenance and repairs for the truck and ensure all operations comply with DMV and DOT licensing regulations and company policies.

·         Approve and process all truck related expenses such as lease, fuel, licensing, tracking alarm, tickets and repairs.

Shipping Coordination

·         Work as a key member of the shipping department handling import and export requests, either independently or as assigned to a specific sale

·         Select appropriate carriers and prepare shipping estimates for both inbound and outbound property

·         Plan and coordinate the logistics of shipments, including scheduling pickups and deliveries

·         Book airfreight, ocean freight and trucking

·         Serve as the primary point of contact for clients regarding shipment status, delays and other inquiries

·         Prepare all necessary shipping documents

·         Maintain vendor payments as it relates to shipping

·         Perform general administrative tasks

Professional Skills and Experience

2 years experience in art logistics and shipping, required

Experience with MS Office Suite and Outlook, required
